Privacy notice
This commercial template must be completed with the operator’s legal identity, address, support email, payment provider and governing jurisdiction before public sale. It should be reviewed for the countries where SUM is offered.
1. Local-first use
SUM can be used without creating an account. Tasks, projects, finance entries, wellbeing check-ins, journal entries, learning data, settings and Smart Coach history are stored in the user’s browser by default. The operator does not receive this local content.
2. Optional licence data
When SUM Pro is activated, the application may send the purchase email, licence key, an anonymous device identifier and application version to the configured Google Apps Script service. The service stores a cryptographic hash of the licence key, licence status, authorised device identifiers and validation events.
3. Optional encrypted backup
Cloud backup is optional and available only when configured. Before upload, the browser encrypts the workspace using AES-GCM with a key derived locally from the purchase email and licence key. The Google Sheet backend stores the encrypted payload and operational metadata. Losing the licence credentials can make the backup impossible to decrypt.
4. Smart Coach
The included Smart Coach is rule-based and operates in the browser. It analyses the data already stored in SUM. No external generative-AI provider receives the user’s prompts or workspace through the default configuration.
5. Payments
Payments are processed by the checkout provider selected by the operator. SUM does not store card data. The checkout provider’s privacy terms apply to payment, tax, fraud prevention and transaction records.
6. Purpose and retention
- Local data remains until the user deletes browser storage, imports a replacement backup or uses the erase function.
- Licence records are kept while the licence is active and as required for transaction, fraud-prevention and legal recordkeeping.
- Encrypted backups are retained until replaced, deleted by the operator following a verified request, or removed under the operator’s retention schedule.
7. User controls
Users can export their workspace in JSON, erase local data from the Account panel, stop using cloud backup, and request access, correction or deletion of backend licence and backup records where applicable.
8. Sensitive information
SUM is an organisation and general wellbeing tool. Users should avoid entering medical diagnoses, banking credentials, payment-card details, passwords or information they are not authorised to store.
